- Our lawful bases for processing
Our lawful basis will depend on the circumstances and the purpose for which we are processing your information.
We commonly rely upon:
Legitimate interests – where processing is necessary for our legitimate business interests in operating a professional recruitment service, identifying and contacting potential candidates and clients, matching candidates with employment opportunities, maintaining and improving the quality of our services and developing our business, provided those interests are not overridden by your rights and interests.
Contract – where processing is necessary to provide services you have requested or to take steps in connection with a contractual relationship.
Legal obligation – where we need to process information to comply with legal or regulatory requirements.
Consent – where consent is the appropriate lawful basis. Where we rely upon consent, you may withdraw it at any time.
Where special category personal data is processed, we will also ensure that an appropriate additional legal condition applies.
- Candidate sourcing and legitimate interests
Recruitment often involves proactively identifying individuals whose professional skills and experience may be relevant to employment opportunities.
We may therefore identify and contact potential candidates using professional networking platforms, job boards, recruitment databases and other appropriate publicly available professional sources.
Where we do this, we generally rely upon our legitimate interests in providing recruitment services and helping employers identify suitable talent.
You may ask us to stop contacting you or processing your information for this purpose at any time.
- Sharing your personal information
We may share personal information where necessary with:
- prospective or actual employers;

- applicant tracking and CRM providers;
- communications and email service providers;
- job boards and recruitment platforms;
- assessment, testing, reference or background-check providers;
- professional advisers;
- IT, hosting and data-security providers; and
- regulators, authorities or other parties where required by law.
Where third parties process personal information on our behalf, we take reasonable steps to ensure appropriate contractual and data protection safeguards are in place.
We do not sell candidate or client personal information to third parties.
- Use of Artificial Intelligence (AI) and recruitment technology
Rocking Zebra may use artificial intelligence (AI), automation and other technology-assisted tools to support aspects of our recruitment and business activities.
This may include assisting with:
- candidate research and sourcing;
- searching and organising recruitment databases;
- matching skills and experience against job requirements;
- summarising CVs and other recruitment information;
- preparing candidate or vacancy information;
- drafting or improving recruitment communications;
- analysing recruitment or market information; and
- administrative and operational tasks.
Where AI or technology providers process personal information, we take reasonable steps to ensure that its use is appropriate, secure and consistent with applicable data protection legislation.
We seek to minimise the amount of personal information provided to third-party technology providers where reasonably possible.
AI and automated tools may assist our recruitment consultants, but they do not replace professional human judgement.
Rocking Bee does not rely solely upon AI or automated decision-making to determine whether an individual is suitable for employment or should be introduced to a client.
Our consultants remain responsible for recruitment recommendations and decisions made as part of the services we provide.
We periodically review the technology providers and tools we use and the safeguards they have in place for handling personal information.
- Call recording
Some telephone and video calls with Rocking Zebra may be recorded for training, quality assurance, service improvement and, where appropriate, to maintain an accurate record of recruitment-related discussions.
Where calls are recorded, recordings will be handled securely and access will be limited to authorised individuals who require access for legitimate business purposes.
Recordings will not be retained for longer than reasonably necessary for the purpose for which they were made and will be deleted in accordance with our internal data retention practices.
Where appropriate, we will inform you that a call is being recorded. If you do not wish a call to be recorded, please let us know.

We may contact clients, prospective clients, candidates and other professional contacts about recruitment services, employment opportunities, market information or other relevant services where permitted by law.
Where we rely on legitimate interests for direct marketing, you have the right to object at any time.
Where consent is required, we will obtain it.
You can unsubscribe from marketing communications or ask us to stop contacting you at any time by contacting us using the details below or using an unsubscribe facility where provided.
- How long we retain information
We retain personal information for as long as it remains reasonably necessary and relevant for the purposes for which it was collected, including providing recruitment and career-related services, maintaining professional relationships and meeting our legal, contractual, accounting and regulatory obligations.
As recruitment relationships can continue over many years, and individuals may return to the job market at different stages of their careers, we do not apply a single fixed retention period to all candidate records.
We periodically review the personal information we hold and will delete, anonymise or update information where it is no longer reasonably necessary, relevant or appropriate for us to retain it.
Where we remain in contact with you, have an ongoing recruitment or professional relationship with you, or reasonably consider that our recruitment services may continue to be relevant to you, we may continue to retain your information.
You may contact us at any time to ask us to update or delete your personal information. We will action such requests where required by data protection law, although in some circumstances we may need to retain limited information for legal, regulatory or legitimate business purposes.
- International transfers
Some of the technology and service providers we use may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate lawful transfer mechanism and safeguards are in place in accordance with UK data protection legislation.
- Security
We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, disclosure, alteration or destruction.
Access to personal information is limited to employees, contractors and service providers who require it for legitimate business purposes and who are subject to appropriate confidentiality and data protection obligations.
Although no electronic system can be guaranteed to be completely secure, we regularly consider the security measures appropriate to the nature of the information we process.
- Your data protection rights

- request access to the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- request deletion of your personal information;
- request restriction of processing;
- object to certain processing, including direct marketing;
- request transfer of certain information to another organisation;
- withdraw consent where we rely upon consent; and
- raise a concern about how your information has been processed.
Some of these rights are subject to legal limitations and will not apply in every circumstance.
If you ask us not to contact you again, we may retain limited information on a suppression record so that we can respect your request and avoid contacting you again inadvertently.

Our website may contain links to third-party websites and services.
Rocking Zebra is not responsible for the privacy practices of third-party websites. We recommend reviewing the privacy information provided by those organisations before supplying personal information to them.
- Changes to this Privacy Policy
We may update this Privacy Policy periodically to reflect changes to our services, technology, legal requirements or the way in which we process personal information.
The latest version will be published on our website together with the date it was last updated.
Where a change materially affects how we use personal information, we will take appropriate steps to bring the change to the attention of affected individuals.
